Preparing confirmations for Japanese trade receivables
Confirmation design, timing, and follow-up when counterparties sit across prefectures or overseas trading houses.
Positive confirmations remain a staple of receivables testing for trading firms. The wording must name the balance, the invoice references, and the reply address clearly—especially when the customer’s accounts payable desk sits in another prefecture.
We prefer sending confirmations within two weeks of the balance sheet date while the counterparty still recognises the open items. Delays past a month invite replies that say “please check with our branch,” which forces alternative procedures.
Overseas trading houses may reply by email on letterhead we cannot easily authenticate. In those cases we follow up with a phone call to a known contact and document the call notes in the file. Alternative procedures then include subsequent cash receipts and shipping evidence.
Clients who maintain tidy customer master data—legal names, fax or mail addresses, and AP contacts—cut confirmation turnaround dramatically. A messy master file is the most common reason fieldwork stretches into overtime.
